Booking Deposit

• • The Accommodation Initial Payment is a non-refundable upfront payment required to secure the booking, except in the specified cancellation cases.
• • The amount varies depending on the duration of the stay and the selected property.
• • The payment must be made within 48 hours of signing the contract to validate the booking.

Security Deposit

• • A refundable security deposit must be paid before the contract start date.
• • The deposit and the first month's Housing Fee must be paid at least 45 days before the start date.
• • If the start date is within 45 days of signing the contract, the full payment for the stay or the first month's Housing Fee, together with the deposit, may be required at the time of signing.
• • The deposit is returned at the end of the stay, subject to deductions for damage, unpaid amounts, or other outstanding contractual obligations.

Pay In Instalment

• • The Housing Fee may be paid in monthly instalments, as specified in the contract.
• • The applicable payment schedule depends on the terms of the contract.

Mode Of Payment

• • Residents with a billing address in a SEPA country must set up payment through SEPA Direct Debit.
• • Residents with a billing address outside the SEPA region must set up recurring payments using a valid debit or credit card.
• • A separate payment card may be saved for one-off charges incurred during the stay. This is separate from the payment method used for recurring payments.
• • Payment details must remain valid and up to date throughout the contract period.

Additional Fees

• • Additional charges may apply for optional services, including catering, housekeeping, parking, and additional accommodation-related services.
• • Charges may apply for additional overnight guest stays, paid events and activities, and the use of bookable facilities or common areas.
• • Charges may apply for replacement or additional items requested by the resident, including replacement of lost or damaged key cards or access fobs.
• • Late cancellation or no-show fees may apply to chargeable events or activities.
• • Other one-off charges may apply for products or services purchased during the stay.

University Course Cancellation/Modification

• If your course has been cancelled by your university, please reach out to the team with the relevant supporting documentation. We will liaise with the property team to review your request on a case-by-case basis for cancellation. The resolution will be subject to the property's assessment and the terms of your booking.

Delayed Arrivals & travel restrictions

• If you are unable to travel due to government-imposed travel restrictions, please contact the team with the relevant supporting documentation. We will facilitate the request to review your circumstances and explore the possibility of cancellation/contract amendment. Requests are considered individually, and any outcome will depend on the property's review and applicable booking terms.

Deferring Studies

• If you have deferred your studies, please contact the team and share your updated university documentation. We will notify the property team to review your request for cancellation/contract amendment. Requests are assessed individually, and the final outcome will be subject to the property's review and booking terms.

Cooling Off Period

• • The contract may be cancelled within 15 days of signing, provided the cancellation is requested before the contract start date. If fewer than 15 days remain between the signing date and the start date, cancellation is permitted only within the remaining days.
• • This cancellation option applies only to the resident's first accommodation contract and does not apply to subsequent contracts, renewals, or special promotions.

No Visa No Pay

• • If the visa application for the period covered by the booking is refused by the Spanish or Portuguese authorities, the contract may be cancelled.
• • Official documentation confirming the visa refusal is required.
• • Amounts already paid will be refunded if the stated conditions are met.

No Place No Pay

• • Cancellation may be requested before the contract start date if the resident is not admitted to, or loses affiliation with, a university or educational institution and is not enrolled in another institution within the same province as the residence.
• • Documentary proof of enrolment at an educational institution in a different province is required.
• • Amounts already paid will be refunded if the stated conditions are met.

Early termination by students

• • Before the contract start date, cancellation may be requested by finding an eligible replacement resident or by paying the applicable cancellation compensation.
• • If cancelling before the start date without an eligible replacement, the resident must pay the Accommodation Initial Payment and 50% of the Housing Fee as compensation. The penalty will be at least one instalment and no more than three instalments.
• • After the contract start date, the resident may request cancellation by finding an eligible replacement or by paying 50% of the remaining contract amount as compensation, subject to a minimum of one instalment and a maximum of three instalments.
• • For cancellation after the start date, the month in which the resident leaves must be paid in full and is excluded when calculating the remaining contract period.

Replacement Tenant Accepted

• • The replacement resident must accept the same terms and type of contract through at least the original contract end date.
• • The replacement resident must be a student, researcher, or member of the academic community and must not have signed a contract for the previous academic year or be negotiating or signing a contract for the current academic year.
• • For a bed in a shared room, the replacement resident must be of the same sex as the departing resident.
• • The replacement resident must meet the applicable eligibility requirements.

Other cancellation policies

• • The Accommodation Initial Payment must be paid within 48 hours of signing the contract. Otherwise, the booking will be cancelled, and the signed agreement will have no validity.
• • Failure to make other required payments within the specified deadlines and before the contract start date may result in early termination of the agreement and cancellation of the booking.
• • A booking may be rejected or cancelled if the payment information is invalid, incorrect, or insufficient, if there is documented evidence of identity theft or fraudulent use of another person's information, or if the applicant does not meet the eligibility requirements.

Room allocation

• Students can indicate specific room number or location preferences during the booking process, and the team will accommodate these preferences wherever possible, based on availability.

Check in guide

• Approximately 2–4 weeks prior to the scheduled move-in date, students will receive check-in instructions via email. This communication will include the steps required to select a check-in date and time slot, complete necessary documentation, and settle any outstanding payments prior to arrival.

Renewal policy

• Students who wish to extend their stay can contact the team for renewal or rebooking at the same accommodation. Our team will support the renewal process and help students secure a suitable room of their choice. Students are encouraged to reach out early to ensure they can rebook the same room or another room of their choice at the same property.

Early check in policy

• Early check-in requests can be shared in advance with the team. Our team will do a feasibility check to facilitate early check-in requests based on room readiness and availability. Additional charges may apply where applicable.
